Free Invoice Template, No Sign-Up Needed

You did the work and you need to send a bill. You search for a free invoice template, click one, and the site asks you to make an account. Then it wants your email. Then a password.

You don't need any of that. This guide shows two ways to make an invoice with no sign-up: a template in an app you may already have, and Plain Invoice, where you just type and download a PDF.

What every invoice needs

Whatever you use, put these on it:

  1. The word Invoice at the top.
  2. Your name or business, and how to reach you.
  3. Who pays you: their name, or their business name.
  4. An invoice number, like 0001. Never use the same number twice.
  5. The date, and the due date when you want to be paid.
  6. A line for each thing you did, with its price.
  7. The total.
  8. How to pay you, like a check, a bank transfer or a payment app.

Way 1: A template in an app you already have

If you already have Word, Excel, Google Docs or Google Sheets, they have invoice templates built in.

Word or Excel:

  1. Open Word or Excel.
  2. Click File, then New.
  3. In the search box, type invoice.
  4. Pick a simple one and fill it in.
  5. Save it as a PDF: click File, then Save As (or Export), and choose PDF.

Google Sheets or Google Docs:

  1. Open Google Sheets or Google Docs.
  2. Open the Template gallery at the top of the home screen.
  3. Look for an invoice template and fill it in.
  4. Click File, then Download, then PDF.

The honest catch: Google needs you to be signed in to a Google account, and Word and Excel need Microsoft Office. Templates can also be fiddly. It's easy to break a total by typing over a formula, so check the math.

Way 2: Plain Invoice (no account, nothing to install)

Plain Invoice is a simple invoice maker. There is no account. The PDF is made inside your browser, so your client's name and your prices stay on your computer.

  1. Go to tools.ltd/invoice.
  2. In From, type your name or business and how to reach you.
  3. In Bill to, type who pays you.
  4. Under What did you do?, type each job and its price. Click Add another line for more. The total adds itself up.
  5. Open More options to set the invoice number, the date, the due date, a tax percent, and a note like how to pay you.
  6. Press Make my invoice, then download your PDF.
  7. Attach the PDF to an email to your client.

Next time, Plain Invoice remembers your From details and the next invoice number, on that computer only.

Good to know: free invoices have a small tools.ltd mark on them. Pro removes the mark and lets you add your logo. Plain Invoice makes the PDF only. It doesn't send the invoice or take payments for you, and amounts are in US dollars.

Before you send: a quick check

  1. Are the names spelled right?
  2. Does the total match what you agreed?
  3. Is the due date on it?
  4. Are your payment details right? One wrong digit can hold up your money.

Tips

  • Keep a copy of every invoice you send, in one folder, named by number, like "Invoice 0007 - Smith."
  • Keep the numbers in order. It makes it easy to see who has paid.
  • Doing your books later? If you need your bank statement in Excel to see which invoices were paid, MyBankToExcel can turn the bank's PDF into a spreadsheet file.
