How to Convert a PDF Bank Statement to QBO

QuickBooks can bring in bank lines from a QBO file. But your bank statement is a PDF, and QuickBooks can't read a PDF. So you need to turn the PDF into a QBO file first.

This guide shows a free way to get a QBO file from your bank, and a quick way to make one from a PDF with MyBankToExcel.

What is a QBO file?

A QBO file is a bank file made just for QuickBooks. It is also called a Web Connect file. Inside is a list of your bank lines: the date, the amount and the description.

A PDF is different. It shows how the page looks, but it isn't a list QuickBooks can read. Renaming the PDF to ".qbo" won't work.

Way 1: Download it from your bank (free)

Many banks let you download a QBO file yourself. Try this first.

  1. Sign in to your bank's website.
  2. Open the account and look for Download, Export or Download transactions.
  3. Pick the dates you need.
  4. Pick QuickBooks, QBO or Web Connect as the file type.
  5. Save the file.

The catch: many banks only let you download recent months this way. Older months may only come as PDF statements. Some banks don't offer QBO at all.

Way 2: Make the QBO file from your PDF

If you only have the PDF, MyBankToExcel can turn it into a QBO file.

  1. Go to tools.ltd/my-bank-to-excel.
  2. Choose your bank statement PDF. A scan works too.
  3. Press Read my statement. You see the first rows for free.
  4. Open More options and pick QuickBooks (QBO).
  5. Press Download and save the file.

Your file never leaves your device. The PDF is read right in your browser. Only the words are sent to us, to sort them into rows. We never keep them.

Tip: name each file by account and month, like "Checking 2025-03.qbo". It is easier to keep track of many months.

Bring the QBO file into QuickBooks

QuickBooks menus change now and then, but the steps are usually close to this.

QuickBooks Online:

  1. Go to Transactions, then Bank transactions.
  2. Choose Upload from file.
  3. Pick your QBO file and the bank account it goes in.
  4. Check the lines in the For review list, then add them.

QuickBooks Desktop:

  1. Click File, then Utilities, then Import, then Web Connect Files.
  2. Pick your QBO file.
  3. Choose the bank account it goes in.

If QuickBooks won't take the file

  • Wrong account. Make sure you pick the right bank account when QuickBooks asks.
  • Dates you already have. If your bank feed already has those dates, you may get doubles. Only bring in the months that are missing.
  • Too many months at once. Try one month per file.
  • Still stuck? Try the CSV file instead. QuickBooks Online takes CSV too, but you match the columns yourself.

Check the balance

When you're done, look at the balance in QuickBooks for the last day of the statement. It should match the end balance on your PDF. If it doesn't, a line may be missing or in twice.

Frequently asked questions

What is a QBO file?

A QBO file is a bank file made for QuickBooks. It is also called a Web Connect file. It holds the date, amount and description of each line.

Can I just rename my PDF to .qbo?

No. A PDF is a picture of the page, not a list of lines. Changing the name does not change what is inside, so QuickBooks can't read it.

Does my scanned statement work?

Yes. MyBankToExcel reads scanned pages too. Check the rows on screen before you download, since a blurry scan can have mistakes.

My bank only gives PDFs for old months. What can I do?

Many banks only offer QBO downloads for recent months. For older months, turn the PDF statement into a QBO file with MyBankToExcel.
