Linking your bank to QuickBooks is great for new spending. But a bank feed often only goes back a few months. If you're catching up on last year's books, or your bank won't connect at all, you need to bring in transactions from your statements.
The problem: your statements are PDFs, and QuickBooks wants a different kind of file. This guide shows you how to fix that, step by step. We'll use MyBankToExcel to make the file, then upload it to QuickBooks Online.
What file does QuickBooks want?
If you add them by hand, QuickBooks Online takes files like these:
- CSV: a simple spreadsheet file. Works, but you'll match columns yourself.
- QBO: a QuickBooks "Web Connect" file. Made for QuickBooks, so it's usually the easiest.
- OFX: a common banking file that many money programs read.
A PDF is none of these, so the first job is to turn your statement into one of them.
Part 1: Turn your PDF statement into a QuickBooks file
You could retype everything into a spreadsheet and save it as CSV. For a few lines, that's fine. For a full month or a full year, it's slow and easy to get wrong.
The quicker way:
- Go to tools.ltd/my-bank-to-excel.
- Choose your bank statement PDF. A scan works too. You see the first rows for free.
- Open More options and pick QBO. (Or keep CSV if you prefer.)
- Download the file. Save it somewhere easy to find, like your Desktop.
- Do this for each month you need.
Tip: name each file by account and month, like "Business checking 2025-03.qbo". It makes the upload much easier to keep track of.
Part 2: Upload the file to QuickBooks Online
QuickBooks menus change now and then. The steps are usually close to this:
- Sign in to QuickBooks Online.
- Go to Transactions, then Bank transactions (sometimes just called Banking).
- Look for Upload transactions or Link account with a small arrow next to it, and choose Upload from file.
- Click Drag and drop or select files, and pick the file you made.
- Pick the bank account they go in, like "Business Checking."
- If you used CSV: QuickBooks asks which column is the date, the description and the amount. Match them up and pick the date format your file uses.
- Tick the lines you want and click Next, then Done.
Your transactions now appear in the For review list.
Part 3: Review and add them
New lines don't go straight into your books. You check them first.
- Open the For review tab.
- For each line, pick a category, like "Office supplies" or "Rent."
- If a line matches something you already entered, choose Match instead of Add. This stops doubles.
- Click Add or Confirm.
Avoid these common mistakes
- Importing dates you already have. If your bank feed already has January, don't add January again. Only upload the missing months.
- Wrong account. Double check you picked the right bank account before you click Next.
- Money in and money out flipped. With CSV, check a few lines after import. Purchases should show as money out.
- Skipping the balance check. When you're done, the balance in QuickBooks should match the end balance on your statement for that date.
Sending statements to your bookkeeper?
Your statements show your full account number and address. If you email them to someone who doesn't need those details, hide them first with TrueRedact. It removes the text from the file for real, rather than just covering it with a black box.
Using Quicken or Xero instead?
Pick the OFX file when you download. Quicken, Xero, and many other money apps can open it. MyBankToExcel makes two kinds:
- OFX 1 is the older kind. Pick it if your app is a few years old.
- OFX 2 is the newer kind. Try it first with a new app.
Each row keeps the date, the amount, and the description. Fees, interest, cash machine withdrawals, transfers, and checks get their own label when the statement says so. The QBO file for QuickBooks is the same thing with one extra QuickBooks tag.
Frequently asked questions
Can QuickBooks read a PDF bank statement?
QuickBooks Online asks for a file like CSV, QBO or OFX when you upload transactions by hand. You need to turn the PDF into one of those first.
Should I pick CSV or QBO?
QBO is made for QuickBooks, so it usually needs fewer steps. CSV works too, but you have to match the columns yourself.
Will importing make duplicates?
It can if the same dates are already in QuickBooks from your bank feed. Only import the dates that are missing.
Why are my old transactions missing in QuickBooks?
Bank feeds often only bring in recent history. Older months have to be added from your statements.
