How to Convert Bank Statements for Many Clients at Once

When you keep the books for many clients, statements pile up. A dozen clients, a few accounts each, every month: that is a lot of PDFs. Turning them into spreadsheets one at a time takes hours. Naming and sorting the files takes even longer.

This guide shows how to do the whole pile in one go, with MyBankToExcel.

What you end up with

One zip file, with a folder for each client. Inside, each statement has a clear name:

Folder Files
Acme Bakery Acme Bakery 4821 2026-08.csv, Acme Bakery 7790 2026-08.csv
Bluebird Plumbing Bluebird Plumbing 3312 2026-08.csv

The name has the client, the last 4 digits of the account, and the month. You can change this pattern.

Step 1: Gather the PDFs

Put this month's statement PDFs in one folder on your computer. Scans work too. Each file can be up to 8 MB.

Step 2: Read them all at once

  1. Go to tools.ltd/my-bank-to-excel.
  2. Press Choose a PDF and select all the statements. You can also drag them onto the page.
  3. Press Read my statement. Each statement is read in turn.
  4. Look at the list. Each statement shows how many rows were found, and whether its balances add up.

If one statement can't be read, it is left out, and you see which one. Try that one again by itself.

Step 3: Sort by client

On the Firm plan, each statement gets a box for the client's name.

  • Type the client for each statement. Names you used before show up as you type.
  • Next time, a statement from the same account fills in the client for you.
  • Below the list, you see a heading for each client and the file names it will get.

The names are kept in this browser only. They are never sent to us.

Step 4: Pick how you want the files

  • One zip, with a folder for each client. Best for most firms.
  • One zip for each client. Handy if each client has their own shared folder.
  • One file with every statement. One spreadsheet with a Client and an Account column. This works with Excel or CSV only, since QuickBooks and Xero take one account at a time.

Then press Download.

Step 5: Import each file

Each file is ready for its program:

Why this is safe for client files

Client statements are private. With MyBankToExcel, the PDF never leaves your computer. It is read right in your browser. Only the words are sent to us, to sort them into rows, and we never keep them or use them to train AI. You can check this yourself.

Which plan do I need?

Many statements at once, in one zip, come with the Bookkeeper plan. Sorting by client, file names by client and month, and one file for every client come with the Firm plan. See the prices.

Frequently asked questions

How many statements can I do at once?

Up to 24 at once on the Bookkeeper plan, and up to 100 on the Firm plan. Each one is read on your computer, one after another.

Are my clients' names sent anywhere?

No. The client names you type stay in your browser. Only the words read from each statement are sent to us, to sort them into rows, and we never keep them.

Can I put every client in one spreadsheet?

Yes, on the Firm plan. Pick one file for every statement, with Excel or CSV. Each row gets a Client and an Account column, so you can filter by client.

Why can't QuickBooks get one file for every client?

QuickBooks and Xero bring in one bank account at a time. So for those, you get one file per statement, sorted into a folder for each client.
