Black Box on a PDF Not Hiding Text? Here's Why

You drew a black box over your account number. It looks covered. Then you (or someone else) dragged across it, pressed copy, and the number came right back.

This is one of the most common PDF mistakes there is. Here's why it happens, how to check any file in under a minute, and how to fix it. The quickest fix is TrueRedact, which deletes the hidden words from the file.

Why the words are still there

Think of a PDF like a sheet of paper with clear plastic layers on top. When you draw a black box with a shape tool, a highlighter or a comment tool, you're drawing on the plastic. The words on the paper underneath haven't changed.

Your screen and your printer show the box on top, so it looks hidden. But the words are still in the file. Copying, searching, or opening it in a different PDF app can show them.

Tools that often cause this:

  • Shape or rectangle tools
  • Black highlighters
  • Comment or markup tools
  • "Fill & sign" boxes

Test your file in one minute

  1. Open the PDF you plan to send.
  2. Press Ctrl + F (Windows) or Command + F (Mac). Type part of the hidden number. If the search finds it, it's not hidden.
  3. Click and drag across the black box. Press Ctrl + C or Command + C.
  4. Open Notepad or TextEdit and paste. If you see the number, it's not hidden.
  5. Try clicking the black box. If you can move or delete it, it's just a shape.

If your file passes all of these, the text is likely gone. If it fails any of them, fix it before you send it.

How to fix it

Option 1: Redact it properly with TrueRedact

TrueRedact removes the words themselves, then draws the black box where they used to be. It runs in your web browser, so the file stays on your computer.

  1. Open the original file (without your old black boxes) if you have it. If not, the one with boxes is fine.
  2. Go to tools.ltd/trueredact and choose your PDF.
  3. TrueRedact already looks for Social Security numbers, account numbers, emails and phone numbers. Names are not found on their own. Type each name or word you want removed.
  4. Hide them. TrueRedact checks the new copy, then you download it.
  5. Run the one-minute test above on the new file.

TrueRedact can't read words inside a photo or a scan. For a scanned page, use Option 2 or Option 3.

Option 2: Print, black out, and scan

  1. Print the page.
  2. Black out the details with a thick marker, or cover them with paper and tape.
  3. Scan it back to a PDF.

A scan is a picture, so the old words aren't in the file. It's slower and less sharp, but it works.

Option 3: Use the real Redact tool in your PDF program

If you have software with a Redact feature (for example Adobe Acrobat Pro), use that, not the shape tool. Mark the areas, then click Apply, and save as a new file.

What if I already sent it?

Don't panic, but act.

  1. Run the one-minute test on your copy to see what can be read.
  2. If the details can be copied, contact the person or office you sent it to. Ask them to delete the file.
  3. Send a properly redacted version.
  4. If it was a bank account or Social Security number, consider calling your bank, and keep an eye on your accounts.

Common files where this happens

  • Bank statements sent to landlords or lenders. (If someone needs your transactions in a spreadsheet instead, MyBankToExcel can make a file for Excel. You can delete any columns you don't want to share before you send it.)
  • Pay stubs with your SSN or employee ID.
  • Tax forms like W-2s or 1099s.
  • Medical bills with policy numbers.
  • Court and school papers with children's names.

Frequently asked questions

I already sent a file with a black box. What should I do?

Test your own copy to see if the words can be copied. If they can, contact the person you sent it to and ask them to delete it, then send a properly redacted version.

Does flattening a PDF fix it?

Not always. Some flatten options keep the text under the box. Always run the copy-and-paste test afterwards.

Will a white box work instead?

No. A white box has the same problem as a black one. The color doesn't matter. What matters is whether the words are deleted.
